Geekapalooza Vendor/Sponsor Agreement and Publicity Information Form

Thank you for joining us for Geekapalooza!! We are thrilled you have decided to partner with us. By completing the form below, you are agreeing to these terms and conditions as a vendor of Geekapalooza. Please read and agree to the Geekapalooza vendor agreement by checking the consent box below.

This agreement is between Geekapalooza held November 8, 2025 as hosted by MetroFamily Magazine and you, the vendor (hereafter referred to as “vendor”).

I agree to abide by the following terms as a vendor at Geekapalooza on November 8, 2025, from 10 am-2 pm. I understand my booth/sponsorship must be pre-paid and the contract completed before my space is guaranteed for the event. I understand there will be no refunds if I, the vendor, fail to appear in person for the actual event. If the event is not able to occur on the scheduled date, MetroFamily will make every effort to reschedule; however,  if the vendor cannot participate on the rescheduled event day, a refund will not be issued. 

1. Vendor shall make no claim of any kind against the event and shall indemnify and hold harmless MetroFamily Magazine and its parent company, Smart Parent Media, Rose State College, Geekapalooza sponsors, staff, volunteers and other entities associated with these organizations. 
2. Vendor agrees to have booth ready for attendees no later than 9:45 am on the day of the event and to remain fully operational at the booth until 2 pm at the end of the event. Leaving prior to 2 pm will result in vendor not being allowed to participate in future MetroFamily events. Vendor also understands they are responsible for bringing enough materials for 500-750 children to complete the hands-on activity at their booth. 
3. Vendor agrees to maintain proper conduct and dress of all personnel manning the booth throughout the duration of the event. All booth activities, printed materials, etc must be considered by event staff to be tasteful and appropriate for families and children. 
4. FORCE MAJEURE: Should any event outside of the control of MetroFamily and/or Rose State College, including without limitations acts of God, fires, floods, epidemics, quarantine restrictions, strikes, failure of public utilities or unusually severe weather, result in Geekapalooza being canceled, MetroFamily, Rose State College and all concerned parties are hereby released from any damage you may incur as a result of such cancellations and any amounts paid to MetroFamily Magazine under this Agreement shall remain non-refundable, but may, in the sole discretion of MetroFamily, be credited to your organization in the form pre-payment for future events or future advertising with MetroFamily. If the event is rescheduled and the vendor is unable to attend the rescheduled date, vendor will not be issued a refund. 

This​ ​agreement​ ​shall​ ​be​ ​governed​ ​in​ ​accordance​ ​with​ Louisiana and Oklahoma state​ ​law,​ ​may​ ​be​ ​amended only​ ​in​ ​writing,​ ​and​ ​constitutes​ ​the​ ​entire​ ​agreement​ ​of​ ​the​ ​parties​ ​with​ ​respect​ ​to​ ​its​ ​subject matter.
